Time Cards

This Time Cards form is designed so you can enter the amount of time each piece of Publics Works machinery is used and apply the Ministry of Transportation rate for the machine type. These time cards are entered in batches. When you are finished the current batch, click the Register button. You can close this form and continue entering your batch at a later time if needed.

Using this form is fairly simple. For each line do the following steps:

  1. Start out by choosing which machine did the work. As soon as you select a machine, its rate will come up automatically, but you can change it here if needed. 
  2. Enter the date the work was done
  3. Enter a brief description, if desired, that will appear on the register and will be transferred to the General Ledger
  4. Select the job code that is associated with the proper expense account.  The job code is linked to the payroll system's Time Cards. The payroll clerk can pull up the job so that the hours will be brought over from the machinery system.
  5. Enter the number of hours it was in use.

For the currently selected time card record, the yellow fields at the bottom, from left to right, show the status of the time card, the description of the machine, the description of the account selected, the total hours for this batch, and the total amount for this batch.

The Batch Date button is used to change the General Ledger transaction date. Clicking that button will pull up a calendar that will let you choose the date for the batch. In the above picture, the batch date was set to June 17, 2009 as shown in the blue title bar. Beside that date is the batch number in parentheses. Both the batch date and batch number will appear on the register and be transferred to the General Ledger.

The Register button will let you preview the Machine Register report. Once the register has been printed and double checked that it is correct and you go to close the report preview screen, you will be asked if you want to commit the report. When committed, the General Ledger transaction as shown at the bottom of the register will be sent to the General Ledger.
